Plain English summary: Use GatePass for its intended purpose, keep your account secure, and comply with privacy laws for data you enter. Every school gets one term free, then pays per student-count band per term. These are the binding legal terms — read them.
By creating a GatePass account, accessing the GatePass web dashboard, or using the GatePass mobile application, you agree to be bound by these Terms of Service ("Terms"). If you are accepting these Terms on behalf of an organisation, you represent that you have authority to bind that organisation.
If you do not agree to these Terms, do not use the Service.
GatePass provides a real-time gate check-in, attendance tracking, visitor management, and parent notification platform ("the Service"). The Service includes the GatePass mobile application, the GatePass web dashboard, and any associated APIs.
We reserve the right to modify, suspend, or discontinue any part of the Service at any time, with reasonable notice to active subscribers.
School accounts: A school is registered by an administrator who is responsible for the account. The administrator adds users, manages roles, and ensures compliance with these Terms within the school.
User accounts: Individual users (staff, parents) access the Service through credentials managed by their school or via OTP for parent accounts. You are responsible for maintaining the confidentiality of your login credentials.
Account accuracy: You agree to provide accurate information when creating an account and to keep it up to date. Accounts with false information may be suspended.

Your use of the Service is also governed by our Privacy Policy, available at gatepasshq.com/privacy.
Your data: You retain ownership of all data you input into the Service (student records, attendance data, visitor logs). You grant GatePass a limited licence to process this data to deliver the Service.
Data processing: By using the Service, you acknowledge that GatePass processes personal data on your behalf as a data processor. You are responsible, as data controller, for ensuring you have a lawful basis to collect and process the personal data you enter into GatePass, including obtaining required consents.
Schools and children's data: Schools using GatePass to process student data are responsible for compliance with applicable laws governing the processing of children's data and for obtaining required parental consents.
School subscriptions: Schools receive one free term upon account creation. After the free period, continued use of the Service requires payment of the applicable per-term fee based on the school's student count band.
Pricing: Pricing is set per country in local currency. GatePass reserves the right to adjust pricing with 30 days' notice to active subscribers.
Payment: Payment is due before the start of each billing period. Failure to pay may result in suspension of the Service.
Refunds: Fees paid are non-refundable except where required by applicable law or as otherwise agreed in writing.
GatePass targets 99.5% monthly uptime for the Service. Scheduled maintenance will be communicated in advance. We do not guarantee uninterrupted service.
Gate scanning is designed to continue through connectivity interruptions, with entries retaining the time at which they were taken. This is provided as a best-effort measure and does not constitute a guarantee of uninterrupted operation.
We are not liable for service interruptions caused by events outside our reasonable control, including but not limited to internet outages, third-party service failures, or force majeure events.
GatePass IP: The Service, including its software, design, trademarks, and documentation, is owned by GatePass Technologies Ltd and protected by applicable intellectual property laws. You may not reproduce, distribute, or create derivative works from any part of the Service without our written permission.
Your content: You retain all rights to the data you input into the Service. You represent that you have the rights necessary to input that data and that doing so does not violate the rights of any third party.
To the maximum extent permitted by applicable law:

By you: You may cancel your subscription at any time. Access continues until the end of the current billing period. Data is retained for the period specified in our Privacy Policy.
By GatePass: We may suspend or terminate your account immediately if you breach these Terms, fail to pay applicable fees, or if we are required to do so by law. We will provide notice where reasonably practicable.
Effect of termination: On termination, your right to use the Service ceases. You may request an export of your data within 30 days of termination. After 30 days, we may delete your account data subject to our retention obligations.
These Terms are governed by the laws of Uganda. Any disputes arising from these Terms or your use of the Service shall be subject to the exclusive jurisdiction of the courts of Uganda.
For disputes involving organisations in other jurisdictions, we will make reasonable efforts to resolve disputes amicably before initiating formal proceedings.
We may update these Terms from time to time. We will notify organisation administrators of material changes by email at least 14 days before they take effect. Continued use of the Service after the effective date constitutes acceptance of the updated Terms.
