How to Create a Digital Student Attendance System for Your School
You do not need an IT department to go digital. You need a pupil list, ID cards, a phone at the gate, and a plan for the first two weeks.
Schools often picture a digital attendance system as a big technical project. In practice it is closer to changing a routine. Here is the plan most schools follow.
Step 1: Get the pupil list right
Everything starts with an accurate list: each pupil's name, class and, for boarders, their house. Most schools already have this in a spreadsheet; importing it is the first job. Take the time to fix duplicates and spellings now — the list is the foundation.
Step 2: Choose the ID method and print cards
For most schools, an ID card with a QR code is the practical choice: cheap to print, fast to scan, easy to replace. Print a card for every pupil, with their photo if you have one.
Step 3: Set up the gate
Give the gatekeeper an ordinary smartphone with the scanning app. Decide your arrival cut-off time and your home time. If the school has two gates, each gets a phone.

Decide who handles a forgotten card (the gatekeeper finds the pupil by name), who records early departures and sent-home pupils (usually the office), and who takes the boarding roll-call at night.
Step 5: Invite parents
Parents install the app and link to their child, then receive a notification each time the child arrives and leaves. Announce it at a parents' meeting — it is the part families appreciate most.
Step 6: Use the reports
Daily, class and termly attendance are produced automatically. Agree who looks at them and when — a weekly glance at repeated late-comers is worth more than a thick end-of-term file.
