How Boarding Schools Can Track Students at Night
In a boarding school, the most important register of the day is the one taken at night — and it is usually taken by torchlight, on paper, by one tired matron.
During the day, a boarder is counted in class like everyone else. At night, the school takes on something much bigger: responsibility for every child until morning. The night roll-call is how a school knows it is keeping that promise.
In many Ugandan boarding schools it is still done with a paper list and a torch. It works on quiet nights. It struggles on the nights that matter.
What goes wrong with paper roll-calls
- A boarder signed out for the weekend is still on the list, and marked missing.
- A pupil in the sick bay is counted absent from the dorm — or counted twice.
- The list is out of date after a transfer between houses.
- The patron only sees the result the next morning, if at all.
Each of these is small. Together they mean the number on the paper is rarely the real number in the beds.

With a digital system, the matron opens her house's list on a phone. It already knows who is signed out and who is in the sick bay, so they are not counted as missing. She marks each boarder present as she walks the dorm, and anyone not found stands out at once.
Sign-outs and the sick bay
The two biggest sources of error are pupils who have legitimately left and pupils who are unwell. When sign-outs and sick-bay admissions are recorded as they happen, the night list adjusts itself. A boarder collected by her father at 5pm is off tonight's count, and a pupil admitted to the sick bay is shown there, not as missing.
Keeping boarding parents informed
Boarding parents are far away and hear little. When the night roll-call is recorded, the school can show parents that their child was accounted for last night. It is a small reassurance, and it matters a great deal to a family in another district.
What the head teacher should see
The head teacher should not have to wait for a morning report. A good system shows, house by house, whether tonight's roll-call has been done and whether anyone is unaccounted for — so a problem at 9pm is dealt with at 9pm.

The roll-call works on the phone and syncs when there is a connection, so a weak signal in the dorm does not stop it.

Can day scholars and boarders be in one system?+
